A pivotal role within a well-established private equity firm, managing the statutory and corporate secretarial obligations of private equity funds, general partners, and related entities. Responsibilities

Duties for this role include, but are not limited to:
Deputising for the Company Secretarial Manager in their absence.
Attending weekly management meetings when required and providing updates on team priorities and deadlines.
Overseeing the workload and resource management within the Company Secretarial team.
Supporting the team with technical and complex administrative queries.
Acting as the first point of contact for team members in the absence of the Company Secretarial Manager.
Ensuring timely and accurate completion of statutory and corporate secretarial reporting and filing requirements.
Managing and overseeing the quarterly board meetings process, including collation of papers, preparation of board packs, scheduling meetings, attending meetings, and minuting discussions.
Preparing and reviewing minutes for board and committee meetings.
Assisting the Corporate Services team with recording investment decision processes.
Preparing secretarial reports for quarterly board meetings.
Liaising with internal and external stakeholders to ensure compliance with regulatory and governance requirements.

Skills / Qualifications

The successful candidate will have at least three years' experience in a mid-level to assistant-manager company secretarial role within financial services. A strong understanding of Guernsey investment business regulations, corporate governance, and statutory requirements is essential. Experience in board meeting management, including minute-taking, is required. A relevant professional qualification such as ICSA or equivalent is desirable, with a willingness to undertake further study. Strong organisational skills, attention to detail, and the ability to meet strict deadlines are key. Excellent communication skills and proficiency in Microsoft Office are also essential.
